Administrative Assistant, Division 9-10

POSITION OVERVIEW
The Administrative Assistant comprehensively supports the division-level leadership team, staff, teachers, students, and parents. The assistant serves as the first point of contact for students, teachers, and parents and provides information about school policies and procedures. This is an opportunity for a detail-oriented individual who thrives in a collaborative environment. This position reports to the Division Head.

RESPONSIBILITIES
General Office Duties
  • Work Standard school hours with occasional evening and weekend events.
  • Answer and direct phone calls, emails, and in-person inquiries.
  • Retrieve voicemail. 
  • Assist Students, Parents, and Teachers with daily inquiries.
  • Monitor Division 9-10’s daily student attendance.
  • Prepare monthly reports related to student attendance trends.
  • Order Supplies and materials as needed for leadership and teachers.
  • Work in collaboration with all Administrative Support across the Divisions.
  • Order and manage inventory of office supplies.
  • Other various duties as assigned.
Key Responsibilities
  • Manage calendars, schedule appointments, and coordinate meetings.
  • Assist Division Rabbi 9-10 with Shabbat  & Beit Midrash Programming.
  • Support to Division Counselor and Division Dean with Advisory information.
  • Primary Support to the Division 9-10 Service (Experiential) Learning Program Coordinator.
  • Teacher Sub assignments.
  • Assist with planning Student and Parent Orientations/Back to School/Parent Teacher Conferences.
  • Handle expense reporting and invoicing.
  • Attend weekly Event Planning Meetings.
  • Staff selected evening and weekend events as required throughout the year.
 
QUALIFICATIONS
  • High school diploma or equivalent (associate’s or bachelor’s degree preferred).
  • Experience as an Administrative Assistant or similar role (experience in education is a 
  • plus).
  • Need for adaptability, quick thinking, and the ability to multi-task effectively while maintaining focus and productivity.
  • Proficiency with Google Workspace.
  • Strong communication and interpersonal skills.
  • Preserve confidential information.
  • Detail-oriented with strong organizational skills.
  • Work proficiently both independently and in team collaborations.
 
SALARY RANGE: $70,000 - $80,000
